Privacy Statement
How ForwardSafe Pro handles your information
ForwardSafe Pro is built for sensitive communication review. This Privacy Statement explains what information we collect, how pasted messages are processed, how AI provider processing works, and what users should avoid submitting.
Last updated: 24 June 2026
Plain-English summary
Current usage tracking stores account and review-count information, not full pasted message content.
Avoid passwords, payment details, medical records, legal documents, confidential files, or information you are not authorised to process.
1. Information we collect
When you use ForwardSafe Pro, we may collect or process:
- Account information: your email address and authentication information required to create and manage your account.
- Usage information: user ID, email address, review count, remaining reviews, timestamps, and service activity needed to enforce usage limits and operate the product.
- Message content you submit: the text you paste into ForwardSafe Pro for communication risk analysis and rewriting.
- Technical information: request metadata, browser/device information, logs, security data, and infrastructure information processed by hosting and security providers.
- Payment-related information: when paid access is added, payment status, access period, plan, renewal status, and billing-related metadata. Full card details should be handled by the payment processor and not directly stored by ForwardSafe Pro.
2. How pasted messages are processed
When you click Analyze message, your message is sent to ForwardSafe Pro's backend service and then to our AI provider to generate outputs such as:
- Send Readiness
- Risk Reduction
- Risk Category
- Estimated Escalation Risk
- Risky phrases detected
- Potential Impact
- Communication Coaching
- Safer Rewrite
- What Changed and Why
- Risk Explanation
ForwardSafe Pro currently does not intentionally save full pasted message content in its Supabase database. Usage tracking is based on account and review-count data.
3. AI provider processing statement
ForwardSafe Pro uses AI providers to generate communication risk analysis and safer rewrites. Your pasted message and the generated output may be processed by the AI provider for the purpose of returning the requested result.
Our current AI provider is OpenAI via the API. OpenAI states that, by default, it does not use inputs or outputs from business offerings including the API to improve models unless the API customer explicitly opts in to share data. You can review OpenAI's current data-use information here: OpenAI data-use information.
AI provider policies may change over time. We may update this statement when providers, model settings, or data practices change.
4. Service providers
ForwardSafe Pro may use managed service providers to operate the product, including:
- Authentication and database: for account access and usage-limit tracking.
- Hosting and backend infrastructure: to serve the website and process API requests.
- AI provider: to generate risk analysis and rewrites.
- Payment processor: when paid access is added, to process payments and manage payment status.
5. What you should not submit
ForwardSafe Pro is designed for professional communication review. You should not submit:
- Passwords, API keys, access tokens, or login credentials
- Bank card numbers, payment details, identity documents, or full financial records
- Medical records or highly sensitive personal information
- Full legal documents, formal notices, or documents requiring legal advice
- Confidential employer, client, customer, employee, or third-party information that you are not authorised to process through an AI tool
Use placeholders where possible, such as “[client name]”, “[employee name]”, “[company name]”, or “[project detail]”.
6. How we use information
We use information to:
- Provide communication risk reviews and safer rewrites
- Authenticate users and protect dashboard access
- Track free and paid review usage
- Prevent abuse, misuse, and excessive automated usage
- Maintain, troubleshoot, secure, and improve the service
- Prepare and manage paid access, expiry, and renewal reminders
7. Payment data handling
When paid access is introduced, payments should be handled by a third-party payment processor such as Stripe. ForwardSafe Pro should not directly collect or store full card numbers. We may store payment status, plan/access information, renewal status, subscription expiry, and transaction metadata required to provide access.
8. Data storage and retention
Account and usage information may be stored for as long as needed to operate your account, enforce review limits, manage paid access, prevent abuse, and maintain service records.
Pasted message content is processed to produce the requested analysis and rewrite. We do not intentionally save full pasted message content in the application database used for account and usage tracking. Hosting, security, payment, and AI providers may process or temporarily retain data according to their own policies and service terms.
9. Security
ForwardSafe Pro uses managed infrastructure, authentication, and backend processing to reduce unnecessary exposure of sensitive keys and account access. No online service can guarantee absolute security, so users should avoid submitting secrets, sensitive records, or information they are not authorised to process.
10. Your choices
You can choose not to paste sensitive information into ForwardSafe Pro. You may stop using the service at any time. Account deletion, data request, and regional privacy rights workflows may be provided where required by applicable law.
11. Changes to this statement
We may update this Privacy Statement as ForwardSafe Pro adds paid access, renewal reminders, analytics, support workflows, or additional service providers. The updated date at the top of this page will indicate the latest version.
